We’re excited to introduce a powerful new feature that gives course creators full control over their platform’s automated emails! Whether it's a purchase confirmation, subscription cancellation, assignment feedback, or password reset, you can now edit and customize these emails to match your brand’s tone, style, and messaging.

With this new functionality, you can personalize the student's experience, reinforce your branding, and ensure that every email aligns with your unique voice. In this guide, we’ll walk you through how to access, edit, and optimize your automated emails for maximum impact. Let’s get started!

To get started, login to your website, click Admin => by your left hand side, click Email Templates => input your Default From Address (sending email address) => Save. Afterward, click Email Branding.

Note: Your sending email address must be of the same domain name as the custom domain name you activated on the platform. This is to ensure that the emails are validated with DNS records, and won't drop in spam when sent. If you do not have a custom domain name, your emails will be sent to your students from noreply@onlinecoursehost.com.

Email Template Colors

Here, you will get an overview of your brand colors, according to what you have already set up for your online school. However, you can choose from a list of predefined themes, or choose new brand colors for your email solution.


  • Brand Primary Color: This is the color of your email's header, as it will be sent to your students like an image.
  • Body Background Color: This is the background on which the body of your email will be written on.
  • Text Color: This is the color of all the written text that your email will contain, including the subject, body, and signature of your email. However, you can change the color of each email under their templates.
  • Footer Color: This is the color of your email's footer.

Logos

This is where you will upload your email's header and footer logos. The maximum height of both logos is 100px.

Also, you will be able to align your logo here, to determine where it should show in your email: at the center, left hand side or right hand side.

Note: If you do not upload any logos, the email template will automatically make use of your platform's header and footer logos.

Social Media Links

Each social media platform has its brand icons and logos. Here, you can choose how you want your social media icons to appear: either to use their default brand colors or use custom colors that you will create yourself.

Signature

Here is where you upload the signature of your email. This will show under every email that is sent from the platform on your behalf. Your signature image should not be more that 100px x 100px.

Then, you can input your name, job title, and email address (the email address and image are optional).

Afterward, click Apply Brand. Then, click Preview Template, to get an overview of your email template. You can also Restore Defaults to the default templates of the platform.

Note: Whatever branding you make under this screen will be reflected on all the bulk emails, and drip schedule emails that you send through platform.

Email Templates

There are currently 12 instances in which emails are automatically sent to students from the platform.

  1. Reset Student Password: When they want to reset their password.
  2. Canceled Student Subscription: When they cancel a subscription.
  3. Canceled Community Subscription: When they cancel a community subscription.
  4. Canceled Community Room Subscription: When they cancel a room subscription within a community.
  5. Course Welcome: When they purchase a course, or redeem a course coupon code.
  6. Bundle Welcome: When they purchase a course bundle.
  7. Private Hidden Course Welcome: When they get assigned a private and/or hidden course.
  8. Expired Time Limited Access: When their access to courses expire.
  9. New Answer Created: When they get answers to their comments under each lesson.
  10. Assignment Solution Created: When they upload their assignments.
  11. Assignment Solution Approved: When their assignments are approved.
  12. Assignment Solution Rejected: When their assignments are rejected.

All these instances come with default email templates in English which you can edit or change totally. You can also disable each template if you do not want to send any emails to your students.

Whatever email you create can be previewed. This means that you can send the preview emails to yourself to get an overview of what they will look like to your students.

Note: Ensure you save all the changes you make in the email editor before you close it, so that you don't lose your progress.

What is the difference between the welcome message under the edit screen, and the one under the email templates?

  • If your course already has a custom welcome message under Courses => Edit => Messages => Welcome Message, it will be sent to your students. If not, the default email under the Email Templates will be sent.
  • However, if a welcome message does not exist under the Edit Course Welcome Message screen, and you update the template under Email Templates, and save it, your updated email under that screen will be sent out instead.

Placeholders under the Email Templates

The Email Templates screen comes with some placeholders that are automatically filled in when emails are sent to your students. This way, you don't have to input the same information, over and over again.

  • studentName: The name of a student.
  • websiteUrl: The URL of your website.
  • schoolName: The name of your online school.
  • supportEmail: Your admin/contact email address.
  • passwordResetLink: The link to reset the password.
  • roomName: The name of the room in your community.
  • courseTitle: The title of the affected course.
  • domainName: Your custom domain name.
  • questionTitle: The title of the question asked by your student.
  • lessonUrl: The URL to a lesson.
  • solutionFileUrl: The URL of an assignment.
  • solutionFileName: The name of an assignment.

Note: To ensure that your student's name is automatically filled when you send out an email, do ensure to insert the StudentName placeholder after your Hello, by clicking it below each email. You can do this for other placeholders too.
